This Privacy Policy explains how we collect, use, share, and retain personal data when you use VOX (the "Service"), and describes your rights under the GDPR.

1. What VOX does

VOX is a digital service that processes short voice samples to generate speech-style analytics and communication compatibility outputs ("Outputs").

2. Personal data we process

2.1 Data you provide

  • Account data (e.g., email), if registration is used
  • Voice sample(s) you upload
  • Text you submit (if any)
  • Support communications (if you contact us)

2.2 Data we generate (derived data)

  • Speech analytics and derived features (e.g., pacing, pauses, repetition patterns, sentence length signals, etc.)
  • Outputs and summaries produced by the Service

2.3 Technical and usage data

  • IP address, device/browser information, session identifiers
  • Security logs and error logs
  • Basic product analytics (feature usage, performance)

2.4 Payment data (subscriptions)

  • Subscription status and payment confirmation data (amount, currency, timestamps, processor transaction references)
  • We do not store full payment card details if payments are handled by a payment provider

3. Key point: we do not store raw audio

We do not store raw audio recordings. Raw audio is processed to generate Outputs and then deleted after processing (typically within minutes).

We may retain:

  • derived analytics/Outputs linked to your account (unless deleted on request, subject to legal requirements)
  • billing and accounting records (as required by law)
  • security logs (to prevent fraud/abuse)

4. Voice-derived / biometric considerations

VOX is not designed for identification, voice authentication, or surveillance. In certain jurisdictions, some voice-derived data may be treated as "biometric data." Under the GDPR, biometric data is a special category when processed for the purpose of uniquely identifying a person. VOX does not use your voice for unique identification. Where applicable or required, we may request explicit consent via a separate Biometric Notice & Consent before processing. We do not sell biometric data.

5. Purposes of processing

We process personal data to:

  1. provide and operate the Service and generate Outputs
  2. manage accounts and subscriptions
  3. maintain security, prevent fraud/abuse, and ensure service reliability
  4. provide customer support
  5. improve the Service (primarily using aggregated insights and without storing raw audio)

6. Legal bases (GDPR)

Depending on context, we rely on:

  • Contract performance (to provide the Service, subscriptions, access to features)
  • Consent (where required, e.g., certain voice/biometric-related consents, cookies/marketing)
  • Legitimate interests (security, fraud prevention, service stability and improvement)
  • Legal obligations (accounting, tax, compliance)

You may withdraw consent at any time where processing is based on consent.

7. How we share personal data

We may share personal data with:

  • infrastructure providers (hosting, monitoring, error tracking)
  • payment processors (to process payments and manage subscriptions)
  • support tooling providers (if used for customer support)
  • public authorities or courts when legally required
  • successors in the event of a merger, acquisition, or asset transfer (with appropriate safeguards)

We share only what is necessary for these purposes and apply contractual protections where required (e.g., processor agreements).

8. International transfers (outside the EEA)

9. Retention

  • Raw audio: not stored; deleted after processing
  • Derived analytics/Outputs: retained while your account is active and for a limited period afterward for support, security, and service improvement, or until you request deletion (unless legal obligations require retention)
  • Billing/accounting records: retained for the period required by applicable law

10. Your rights (GDPR)

Subject to applicable conditions, you may request:

  • access to your personal data
  • rectification of inaccurate data
  • erasure ("right to be forgotten")
  • restriction of processing
  • data portability (where applicable)
  • objection to processing based on legitimate interests
  • withdrawal of consent (where consent is the legal basis)

To exercise rights, email robot@voxomatic.com. We may need to verify your identity. Typical response time is up to one month, with possible extension in certain cases as allowed by law.

You also have the right to lodge a complaint with your local supervisory authority. In Italy, this is the Garante per la protezione dei dati personali.

We may use cookies and similar technologies for:

  • authentication and security
  • preferences and functionality
  • analytics and performance

12. Security
