Privacy Policy (VOX)

VOX is a digital service that processes short voice samples to generate speech-style analytics and communication compatibility outputs ("Outputs").

2.1 Data you provide

• Participant names and optional email addresses. Email is not required for the free game.
• Voice sample(s) you upload
• Text you submit (if any)
• Support communications (if you contact us)

2.2 Data we generate (derived data)

• Speech analytics and derived features (e.g., pacing, pauses, repetition patterns, sentence length signals, etc.)
• Outputs and summaries produced by the Service

2.3 Technical and usage data

• IP address, device/browser information, session identifiers
• Security logs and error logs
• Basic product analytics (feature usage, performance)

2.4 Payment data

• One-time purchase status, amount, currency and Stripe transaction references
• We do not store full payment card details if payments are handled by a payment provider

Uploaded recordings, transcripts and results are stored on our server to process your game and provide access to its results. Audio is not automatically deleted immediately after analysis. You can request deletion at robot@voxomatic.com.

We may retain:

• derived analytics/Outputs linked to your account (unless deleted on request, subject to legal requirements)
• billing and accounting records (as required by law)
• security logs (to prevent fraud/abuse)

VOX is not designed for identification, voice authentication, or surveillance. In certain jurisdictions, some voice-derived data may be treated as "biometric data." Under the GDPR, biometric data is a special category when processed for the purpose of uniquely identifying a person. VOX does not use your voice for unique identification. Where applicable or required, we may request explicit consent via a separate Biometric Notice & Consent before processing. We do not sell biometric data.

We process personal data to:

1. provide and operate the Service and generate Outputs
2. manage one-time purchases and remaining analysis credits
3. maintain security, prevent fraud/abuse, and ensure service reliability
4. provide customer support
5. maintain and improve service operation

Depending on context, we rely on:

• Contract performance (to provide the Service, subscriptions, access to features)
• Consent (where required, e.g., certain voice/biometric-related consents, cookies/marketing)
• Legitimate interests (security, fraud prevention, service stability and improvement)
• Legal obligations (accounting, tax, compliance)

You may withdraw consent at any time where processing is based on consent.

We may share personal data with:

• Vultr (hosting) and OpenAI (audio transcription and text analysis)
• Stripe (one-time payments)
• support tooling providers (if used for customer support)
• public authorities or courts when legally required
• successors in the event of a merger, acquisition, or asset transfer (with appropriate safeguards)

We share only what is necessary for these purposes and apply contractual protections where required (e.g., processor agreements).

If any service providers process data outside the EEA, we use GDPR-compliant transfer mechanisms (such as Standard Contractual Clauses) and apply additional safeguards where appropriate.

• Recordings and transcripts are stored with the game. To request deletion, contact robot@voxomatic.com.
• Results are available by personal link until deletion is requested, subject to legally required retention.
• Billing/accounting records: retained for the period required by applicable law

Subject to applicable conditions, you may request:

• access to your personal data
• rectification of inaccurate data
• erasure ("right to be forgotten")
• restriction of processing
• data portability (where applicable)
• objection to processing based on legitimate interests
• withdrawal of consent (where consent is the legal basis)

To exercise rights, email robot@voxomatic.com. We may need to verify your identity. Typical response time is up to one month, with possible extension in certain cases as allowed by law.

You also have the right to lodge a complaint with your local supervisory authority. In Italy, this is the Garante per la protezione dei dati personali.

We may use cookies and similar technologies for:

• authentication and security
• language preferences, TRYVOX status and remaining analysis credits
• analytics and performance

You can manage cookies via browser settings. Disabling certain cookies may affect site functionality.

We use reasonable technical and organizational measures to protect personal data (access controls, logging, secure transport). No system can guarantee absolute security.

VOX is not intended for individuals under 18. We do not knowingly collect children's data.

We may update this Privacy Policy by posting a new version on voxomatic.com and changing the "Last updated" date.
